Saving Video for a School or Organisation’s Communications Officer

If you run the social accounts for a school, church, clinic or association, you are producing the organisation’s visual record. Almost nobody treats it that way, and the material is usually lost within a few years.

Save what you publish, when you publish it

Not later. The same day, into a folder organised by year and term.

Keep the originals separately

Event, date, who appears, who filmed it. A folder of unlabelled clips from four years ago is effectively empty.

Somebody who was not there should be able to find the sports day from two years back.

Store it where the organisation owns it

Not on your personal laptop or in your personal cloud account. The single most common way this material is lost is that the person who held it moved on.

A drive kept on site, plus an organisational cloud folder, with more than one person having access.

Hand over properly

Communications roles turn over. Write down where things are, how they are organised, and what the consent position is.

An hour of documentation is the difference between a successor inheriting an archive and starting again.

Think about what future-you needs

Anniversaries, funding bids, obituaries, prospectuses, and news stories all draw on old footage. The material that turns out to matter is rarely the material that seemed important on the day.

Keep the ordinary alongside the ceremonial.

Delete deliberately

An archive is not everything ever filmed. Agree a standard and apply it, particularly for material involving identifiable individuals, which should not be kept indefinitely without reason.

Train whoever helps you

Volunteers and colleagues who film at events need to know the consent position before they start, not afterwards.

A single page covering what to film, what to ask, and where to send it prevents most of the problems that arise later.

Agree a retention period

Keeping everything forever is neither necessary nor, for material featuring identifiable people, advisable.

Agree with whoever is responsible how long different categories are kept, write it down, and review annually. That is a short conversation that prevents a difficult one.
